How to Create Quote?


How to open Quote?

Sales-> Quote

In this page, you will be able to see list of all Quotes that you have already added into the software and you can also create New Quote

You can view Quotes which are:

  • Draft
  • Sent
  • Declined
  • Accepted and
  • Invoices

From the listing page you can check the following information about each Quote that have been entered into the software:

  • Customer
  • Quote Number
  • Quote Date
  • Expiry Date
  • Amount
  • Doc Type
  • Status of Quote i.e. Draft, Sent, Declined, Accepted, Expired, Invoices

How to Create Quote?

You can create Quote one by one by clicking "Quote".

After clicking on “Quote” - New Create Quote form will be opened.

What Mandatory fields are required?

For creating the Quote you are required to fill some mandatory fields such as:-

  • Quote/Sales Order Number
  • Quote/Sales Order Date
  • Expiry Date
  • Customer
  • Customer GSTIN
  • Place of Supply
  • Billing Address
  • Quantity
  • Unit Price
  • Account
  • Tax Rate
  • GST Rate

How to set Auto-fields?

You can set some auto-fill functionalities for creating the Quote/Sales Order. Such Auto-Fields are:-

  1. Quote/Sales Order Date: By default current date will be the Quote/Sales Order Date. You can also change the same.
  2. Branch (Auto): You are required to Add Branch in Organization Settings. Those added Branch list will appear at the time of creation of Quote.

    For adding Branch - Navigate to Settings -> Organization Settings -> Location -> Add Branch.

  3. Category (Auto): You are required to Add Category in Organization Settings. Those added Category list will appear at the time of creation of Quote.

    For adding Category - Navigate to Settings -> Organization Settings -> Location -> Add Category.

  4. Quote Number (Auto): Quote Number will auto populate from series as set by you in Custom Configurations. However, you can change the same.

    For Setting series - Navigate to Settings -> Custom Configurations -> Document Series -> Select Quote.

How to Hide/Unhide fields?

You can Hide/Unhide some fields from the Custom Configurations. By default, fields are unchecked in Document Customization. You can check those fields which you want to show in Quote.

Navigate to Settings -> Custom Configurations -> Document Customization -> Select Quote.

How to Save Quote?

You can save the Quote by the following the below mentioned options:

  • Save as Draft, save and continue editing or save and add another.
  • Then click on the Send button.

How to change the status of Quote from Listing?

  1. Navigate to Draft listing from All Quote listing and select the Quote which you want to move in "Sent" or "Delete".

  1. Navigate to Sent listing from All Quote listing and select the Quote which you want to move in "Accept", "Decline" or "Delete".

  1. Navigate to Declined listing from All Quote listing and select the Quote which you want to move in "Unmarked as Declined" or "Delete".

  1. Navigate to Accepted listing from All Quote listing and select the Quote which you want to move in to "Unmark as Accepted" or "Delete".
